Your commitment to A.R.T.S. and its work to carry the message to artists who still struggle is met with gratitude.
Ideally, 2-3 trusted servants fill each position, so as not to burden any one person too much.
All positions entail judgment, the willingness to learn and adapt, being prepared, anticipating what is next and taking direction without distraction. This ensures the smooth operation of the Conference sessions so that the group conscience process is supported and remains unified.
Security Person: This person has the requisite skills and experience to listen and help others who are having difficulty contributing in a positive manner to the Conference proceedings. A willingness to provide warnings, talk things over one-on-one, and use good judgment in determining whether a participant can continue to participate is needed.
Zoom Tech: Zoom Tech Skills include (but may not be limited to):

- Managing hosting and co-hosting roles
- Managing and messaging participants in the Waiting Room as necessary
- Ability to provide the zoom registration link or meeting invitation to attendees having difficulty joining
- Renaming and muting attendees as appropriate, including muting all
- Enable recordings, captioning, and assist those who want captions in their chosen language
- Having the timer app, knowing how to use it, using it as directed
- Copy and paste information into the chat if needed
- Screenshare as needed
- Provide technical support to whoever is screensharing
- Ability to remove someone as directed
- Staying in communication with the Conference Chair and others via WhatsApp and/or the chat
Scribe: During the World Service Conference, we go through motions together which are done using the Community Problem Solving Method form. This form is Screenshared by the Scribe, so it is in full view of everyone present. The Community Problem Solving Method form will already contain the Original Motion and the Final Motion ready to craft.
The Scribe will then fill out the form section by section in real time as guided by the facilitator and the presenters. View the Community Solving Method Form here.
The Scribe will first be inputting the Pros and Cons One by one, as they are presented by the Delegates. (Facilitator will guide this process).
Secondly the Scribe will be altering the Final Motion (After Crafting) section during the crafting process, guided by the Presenter of the Motion, who will accept or reject any possible crafts to the motion.
Third along the line is recording the vote, In favor, Opposed or Abstentions and whether the Motion has passed or not.
Lastly if the motion passes, there will be an opportunity for the minority opinion to be heard, this is documented in its entirety.
The Scribe then emails the form to the Conference Chair for distribution as needed and to be presented in Conference Report.

- To be accurate
- To work under a reasonable amount of pressure

Conference Chair:
In Preparation for the World Service Conference:
- Work in cooperation with the Board of Trustees, the World Service Office, and other committees as needed, such as the Conference Policy and Procedures Committee, the Motions and Topics Review Committee, etc.
- Facilitate the Agenda Setting Meetings for the Conference Planning Meetings (two weeks before)- The Agenda items are likely to come from Conference Policies and Procedures committee, Conference Service and Support may also want to put items forward.
- Facilitate the Conference Planning Meetings (Please note that the Conference Planning meetings including Agenda Setting, may not be a permanent feature if the extremely attendance levels continue-decisions around the Conference will then be made at a committee level)
- Facilitate Monthly Conference Service and Support Committee meetings and co-ordinate all the actions of the committee.
- Produce and present a quarterly Conference Chair report to the Board of Trustees detailing Conference preparation progress.
- Make sure the ‘jobs’ of the World Service Conference are staffed, Scribes, Security, Tech people.
- Provide Scribes (those that fill in and craft the Community Problem Solving method with the motions in real time) with the Motions in the Community Problem Solving method form. Provide training as needed to motion Presenters with the Motions in the Community Problem Solving method.
At The A.R.T.S. World Service Conference:
- Facilitate the World Service Conference
- Facilitate the set Agenda. This includes supporting Presenters of motions and facilitating. Try to make sure that things run on time and don’t run over. (Not always possible) Also chair the Topics and Open forum.
- Co-ordinate and support those with roles within the World Service Conference, Scribes, Security, Tech people.
After The World Service Conference:
- Write the World Service Report in cooperation with the Conference Service and Support Committee and the World Service Office. With special emphasis on the Motions, passed or failed. Accuracy crucial; every word of a passed motion needs to be exact.

Vice Chair of the Conference: (this is from a motion that was passed by the Conference Policy and Procedures Committee on Oct 3, 2024)
The position of Vice Chair for the Conference is elected by the WSC for a one-year term and may be elected for no more than three subsequent one-year terms.
The Position Includes:
- The VC is available for the meetings the Conf Chair attends or leads
- There is the possibility of stepping into the role of the Conf. Chair
- The VC Has the tie-breaking vote
- The VC supports and assists the Conf Chair as needed
- The VC functions as an alternate Conf Chair when necessary
- The VC may not be a member of the ARTS Board of Trustees
